Anne Jepson Holistic Therapies is a business which offers holistic therapy covering the range of Reiki, Reflexology, Indian Head Massage, Crystal Therapy, EFT (Emotional Freedom Technique) and Animal Communication for individual treatment and group therapy. The business is bound by General Data Protection Regulations from May 2018 and an explanation of how your data is collected and used is listed below. This policy will be regularly reviewed for the latest updates and you will be informed by email.

With your consent, I collect your name, address, phone numbers, email address, date of birth, details of your medical practitioner, your past and current health information and your required treatment details. This information is necessary to formulate the very best tailored, safe and effective treatment for you. If you do not wish to provide the necessary details, treatment may be ineffective or refused for your own safety. Please be aware that most insurance companies require us to store client information for around 6 years.

All information that you divulge is completely confidential, password protected and never shared with third parties. I have the right to move my records between my computers and IT systems,providing your details are protected from being seen by others without your permission. Any hard copies of treatments are kept under lock and key in a filing cabinet.

I would also use your details to provide you, with your consent, any offers and special announcements which may be of use to you. If you contact me by my direct email, your details are automatically provided. This information is used to reply to your query and not processed further in any way without your explicit consent.

THE RIGHT OF ACCESS
You have a right to see what information is being held about you and you will be given a hard copy of this information if requested, which will not incur a fee. This will be given in an envelope marked "Private and Confidential" with your name clearly displayed.

THE RIGHT TO RECTIFICATION

Inaccurate or incomplete data can be amended at a later date. For us as therapists this means making adjustments by adding information and noting details of the date the information has been amended, asking you to sign for accuracy and consent, any paperwork that has been completed at a previous session will not be changed.

THE RIGHT TO ERASURE
Clients have a right to request deletion of data, although this can be overridden in the interest of the client especially regarding medical matters. Data is retained for 6 years and will be deleted forever after that.

THE RIGHT TO RESTRICT PROCESSING

If erasure has been requested information must not be processed until the issue at hand has been resolved.

THE RIGHT TO DATA PORTABILITY

Under certain circumstances, you can request a copy of personal information held electronically so you can re-use it in other systems.

THE RIGHT TO OBJECT
To be able to tell your therapist you don’t want to use certain parts of your information or only to use it for certain purposes.

THE RIGHT TO LODGE A COMPLAINT WITH THE ICO - INFORMATION COMISSIONERS OFFICE:
You have the right be able to complain to the ICO if you feel your details are not correct, if they are not being used in the way that you have given permission for or if they are being stored in a way they don’t have to be.
